OCTOBER BOARD MEETING
ADA COMMUNITY LIBRARY
BOARD OF TRUSTEES

The Ada Community Library Board of Trustees held its monthly board meeting on October 17, 2023. Board members present were Carol Mills, Steven Ricks, and Mary Anne Saunders. Staff members present were Mary Allington, Mary DeWalt, Alex Hartman, Anna Langrill, Jamie Thill and John Thill.

    1. MONTHLY MEETING OF THE BOARD OF TRUSTEES IS CALLED TO ORDER.
      CM called the meeting to order at 8:29 am.
    2. CONSENT AGENDA
      1. Changes to the agenda.
      2. Approval of the minutes of Tuesday, September 19, 2023, Board Meeting 
      3. Approval of the September Financial Reports
        SR moved to accept the consent agenda, MAS seconded, the motion carried.
    3. DIRECTOR’S REPORT, PUBLIC WRITTEN CORRESPONDENCE 
      The board briefly discussed the director’s report and public written correspondence.
    4. UNFINISHED BUSINESS
      1. Star Branch Library Expansion Update
        Presentation by two members of the expansion project committee
      2. Privacy, confidentiality, and records retention policy
        SR moved to adopt the confidentiality of library records policy, MAS seconded, and the motion carried.
        SR moved to adopt the right-to-privacy policy, MAS seconded,  and the motion carried.
        SR moved to adopt the public records request policy after a closer examination by MD and CM, MAS seconded, and the motion carried.
        SR moved to adopt the record retention policy, MAS seconded, and the motion carried.
    5. QUARTERLY STATISTICS
      1. The board briefly discussed the quarterly statistics.
    6. NEW BUSINESS
      1. Lake Hazel Branch Operating Hours review and potential revision
        MAS moved to approve a change in hours with a review in 3 months, SR seconded, and the motion passed.
      2. Budget line allocation of FY23 carryover
        MAS moved to approve the budget line allocation of FY23 carryover, SR seconded, and the motion carried.
      3. Holiday Closures 2024
        SR moved to adopt library closures, MAS seconded, and the motion carried.
    7. DATE OF NEXT MEETING AND ADJOURNMENT
      The next monthly meeting will be held at the Lake Hazel Branch on November 21, 2023 at 8:30am.
      SR moved to adjourn the meeting, MAS seconded, the meeting adjourned at 9:29 am.
