BOARD OF TRUSTEES

The Ada Community Library Board of Trustees held its monthly board meeting on January 16, 2024. Board members present were Melodie Huttash, Carol Mills, Steven Ricks, Mary Anne Saunders, and Sandy Taylor. Staff members present were Mary Allington, Mary DeWalt, Alex Hartman, Anna Langrill, Monika Pomper, Jamie Thill, and John Thill.

    1. MONTHLY MEETING OF THE BOARD OF TRUSTEES IS CALLED TO ORDER.
      CM called the meeting to order at 8:36 am.
    2. CONSENT AGENDA
      1. Changes to the agenda.
      2. Approval of the minutes of Tuesday, November 21, 2023 Board Meeting 
      3. Approval of the November and December Financial Reports
        SR moved to accept the consent agenda, MAS seconded, the motion carried.
    3. DIRECTOR’S REPORT, PUBLIC WRITTEN CORRESPONDENCE 
      The Director’s Report featured information about Love Your Library Month, an advocacy toolkit, the new programming season, and permanent outdoor musical instruments for each branch purchased with a Together Treasure Valley grant. There was no public written correspondence.
    4. QUARTERLY STATISTICS
      1. There was a brief discussion of quarterly circulation statistics and activities among the branches.
    5. UNFINISHED BUSINESS
      1. Star Branch Library Expansion Update
        A Star expansion project committee member presented information about the long-term lease and library awareness campaign. SR will visit SBL soon.
      2. Hidden Springs Library expansion, lease signing. ST moved to accept the HSB lease, MAS seconded, and the motion carried.
      3. Review of revised Lake Hazel operating hours, overall district operating hours
        AH updated the board on revised Lake Hazel operating hours. LHB will move forward with permanent hours.
      4. Current installment of Know Your Library District
        MAS updated the board about the current installment.
    6. NEW BUSINESS
      1. FY23 Audit
        MAS moved to accept the FY23 audit, SR seconded, and the motion carried.
      2. Program Policy review
        The board asked questions about the program development policy and will continue to review the rough draft. Adopting the revised policy will be a possible action item at the next meeting.
      3. Avimor collection
        HSB asked for approval to hide the Avimor collection in the public catalog. The board approved the suppression of the collection. No action item is necessary since it is only a procedure.
      4. Insurance
        MD is Investigating alternative insurance regarding library materials.
      5. Friends of the Library
        The Friends of the Library are working on a district-wide update of the bylaws to include HSB and SBL.
      6. Mayfield Community
        Mayfield Community is interested in a contract with Ada Community Library District.
      7. Policy/Procedure review in advance of the 2024 Legislative session
        MD will serve as the spokesperson for the Library. The board agreed to wait to review policy/procedures.
    7. DATE OF NEXT MEETING AND ADJOURNMENT
      The next monthly meeting will be held at the Victory Branch on February 20, 2024 at 8:30am.
      SR moved to adjourn the meeting, MAS seconded, the meeting adjourned at 10:08 am.
