OCTOBER BOARD MEETING
ADA COMMUNITY LIBRARY
BOARD OF TRUSTEES

The Ada Community Library Board of Trustees held its monthly board meeting on October 15, 2024. Carol Mills, Sandy Taylor, Steven Ricks, Mary Anne Saunders, and Melodie Huttash were board members present. Staff members present were Mary DeWalt, John Thill, Mary Allington, and Monika Pomper.

    1. MONTHLY MEETING OF THE BOARD OF TRUSTEES IS CALLED TO ORDER.
           CM called the meeting to order at 8:33 am.
    2. CONSENT AGENDA
      1. Changes or additions to the agenda.
      2. The minutes of monthly board meeting of Tuesday, September 17, 2024 were presented.
      3. The financial reports for September were presented.
        SR moved to accept the consent agenda, ST seconded, the motion carried.
    3. DIRECTOR’S REPORT, PUBLIC WRITTEN CORRESPONDENCE 
      The board briefly discussed the report presented by MD.
    4. QUARTERLY REPORTS
      1. Quarterly statistics are holding steady.
    5. UNFINISHED BUSINESS
      1. Star Library expansion update
        Planning continues for a larger community inclusive venue. Initial contacts regarding fundraising underway and 501c3 status application has been filed.
      2. Hidden Springs Library expansion update.
        Work continues after a few issues resulting in delays.
      3. Personnel Policy revisions
        Policy updates and recommendations from ICRMP will be on the next agenda
    6. NEW BUSINESS
      1. Trustee Zone discussion
        Known information was discussed, additional information will be sought and draft plan of action will be presented at the next meeting.
      2. 2025 Holiday Closures
        The list of upcoming holiday closures was discussed.
        SR moved to approve MAS seconded, motion carried.
      3. Budget Line allocation of FY24 carryover
        Carryover amount was presented with recommendations for allocation.
        After discussion SR moved to approve the allocation, ST seconded, motion carried.
    7. EXECUTIVE SESSION
      There was unanimous consent to enter into executive session at 9:48 am to discuss a personnel matter.
    8. RETURN FROM EXECUTIVE SESSION
      The board returned from executive session at 10:08 am. There was no decision.
    9. DATE OF NEXT MEETING AND ADJOURNMENT
      The next monthly board meeting will be held at the Victory Branch on November 19, 2024 at 8:30am.
      The meeting adjourned at 10:09 am.
